Done.ai is not only known for the services we offer but also for our active role in taking responsibility for our environment and society. We expect our suppliers and business partners to do the same. These values outline the standards Done.ai follows, as well as those we expect our suppliers and business partners (hereafter “Business Partners”) to follow:
Applies to all Done.ai Companies, Suppliers and Business Partners
These standards apply to all Business Partners of Done.ai Group companies (i.e. all companies where Done.ai has majority ownership or control). We expect all our Business Partners to use the same standards when doing business with their own suppliers and business partners. It is the responsibility of each Business Partner to ensure their suppliers and business partners act according to these standards. We also expect our Business Partners to ensure their suppliers and business partners are informed of these expectations and have documentation thereof, which we may request at any time. These standards are not in any way intended to limit the Business Partner’s responsibility when conducting business with Done.ai.
We seek to do business with Business Partners who share our commitment to responsible business conduct. We expect our Business Partners to meet the following standards:
2.1 Business Partners must provide wages, benefits, and working conditions in line with industry standards, at a minimum satisfying the basic needs of workers and their families.
2.2 Business Partners must have labor policies that are clearly communicated to all employees and that comply with national laws as a minimum.
2.3 Child labor is not tolerated. Individuals under 18 must not be assigned hazardous tasks. The minimum age for employment must be 16, the legal minimum in the country, or the age for completing compulsory education — whichever is higher.
2.4 Business Partners must strictly comply with all applicable labor laws and regulations.
2.5 Forced labor must not be used.
2.6 Workers must have the freedom to decide whether to establish, join, or not join trade unions or other associations. If national laws prohibit such associations, workers must be allowed to elect representatives to speak on their behalf.
2.7 Business Partners must participate constructively in collective bargaining with employee representatives to reach agreements on employment terms.
2.8 Business Partners must provide facilities necessary for workers’ representatives to effectively develop collective agreements.
2.9 Business Partners must provide timely notice of plans that may significantly affect employees to mitigate negative consequences as much as possible.
3.1 Business Partners must comply with all applicable health, safety, and environmental laws and regulations, and aim to reduce the use of energy, water, and other resources wherever possible.
4.1 Business Partners must comply with all laws and regulations in applicable jurisdictions, including anti-corruption laws. They must be committed to combating bribery, corruption, and facilitation payments.
4.2 Business Partners must not give or accept gifts, favors, or entertainment that may create undue influence or the appearance of such.
4.3 Business Partners must respect intellectual property rights and protect proprietary information. Technology and know-how must be transferred in ways that safeguard intellectual property.
4.4 Business Partners must have codes of conduct and reporting systems to prevent their entities from being used for money laundering or terrorist financing.
4.5 Business Partners must not violate any applicable laws related to unfair competition or antitrust.
5.1 Business Partners must be prepared for external events that could disrupt or harm ongoing business. Emergency plans and training programs for both managers and employees must be implemented in line with applicable laws and regulations.
6.1 Business Partners must maintain honest and accurate accounting and business records. This includes keeping reasonable documentation to demonstrate compliance with these Standards of Business Conduct.
Please note that failure to comply with these Standards may result in termination as a Done.ai Business Partner.
